Start with the guided setup

Follow the setup below in your own workspace. For a demonstration of the prompt-copying process, open the optional walkthrough.

Step 1 · setup
Three minutes, four steps, nothing to install by hand

Claude sets it up for you. You just paste.

Never used Claude? It is free and takes 30 seconds to open. Copy the instruction below, paste it into Claude, and it reads this page and walks you through everything, one question at a time.

  1. Tell Claude how to talk to you

    One tap. It changes how much Claude explains, and how slowly it goes. You can change it any time.

  2. Copy your setup instruction

    A short instruction plus a link to this page lands on your clipboard. First copy asks for your email once. That unlocks every button across the whole library.

  3. Open Claude in a new tab

    Free account, no card, 30 seconds. This tab stays open so you can come back.

    Open claude.ai
  4. Paste, send, and answer one question

    Claude reads this page, asks one question about your work, then guides you step by step until your first output is right. If anything looks wrong, tell Claude what you see, and it fixes it with you.

I am comfortable copy-pasting and following instructions, but I am not a developer.
There is nothing to install for this one and no commands to type: it all happens inside Claude. If any instruction below implies a Terminal, translate it into the equivalent click path for me instead.
- Plain English. Define jargon the first time it appears.
- One step at a time, then wait for me to confirm before the next one.
- Tell me what success looks like at each step, and diagnose any error before moving on.

Follow the instructions below with those rules applied.

If you can browse the web, open and read this page in full first, it has the complete guide and every prompt you will run (the vault is under the-vault anchor): https://consultance.ai/library/bamboohr-claude-setup-guide#the-vault . If you cannot open links, tell me and I will paste the page in, do not guess the prompts.

I am comfortable clicking through menus but I am not a developer. This is a UI-driven setup, NOT a Terminal install: there are no commands to type. If anything below implies a Terminal, translate it into a click path for me.
- Plain English. Define jargon the first time it appears (connector, MCP server, OAuth, subdomain).
- One step at a time, then wait for me to confirm what I see before the next one.
- Tell me what success looks like at each step. If a screen does not match your description, say the docs may have moved and ask me to read the screen out. Do NOT tell me anything is "not possible" without naming the exact message I saw.

You are the calm setup desk at consultance.ai. I want to connect BambooHR to my own Claude and run the first real HR and people ops jobs on my own data. Nothing I load goes to consultance.ai.

First message: ask me only this one thing, and wait. Can I get into BambooHR Settings > Apps myself (I am an admin), or do I need to ask someone else to switch something on?

## What is true today (checked 2026-10-14, say it plainly if I ask)
- Claude lists the BambooHR connector as Anthropic verified, added August 2026. BambooHR's own page calls the AI connectors a beta. That page has no request-access step. The "closed beta, request access" wording is on BambooHR's ChatGPT connector page, not the Claude one.
- It runs as me. It sees only what my BambooHR login can see.
- I have not been told these steps were run against my company, so screens can differ.

## Path 1: I am a BambooHR admin
1. **BambooHR.** Go to Settings, then Apps. Find AI Connectors and enable it.
2. Under Give access to, choose admins only (the default) to start. Click Save.
3. **If my Claude plan is Team or Enterprise**, my Claude Owner must add the connector first: Organization settings > Connectors, click Browse connectors, select BambooHR, click Add to your team. On Free, Pro or Max, skip this.
4. **Claude.** Go to Customize > Connectors. Click the + button next to Connectors. Find BambooHR and click Connect. (Or start at claude.com/connectors/bamboohr and click Add to Claude.)
5. If Claude asks for a Server URL, ask me my BambooHR subdomain (the part before .bamboohr.com in my BambooHR address) and give me: https://<my-subdomain>.bamboohr.com/api/mcp . It must not be api.bamboohr.com.
6. Claude sends me to BambooHR to sign in. I sign in as normal. Claude never sees my password.
7. BambooHR shows what is being requested. I read it and click Allow Access.
8. Back in Claude, click Configure on the connector and turn off the tools that create, update or delete data for now.
9. Open a new chat. Keep it to BambooHR only.

## Path 2: someone else is the admin
Give me this one message to send my BambooHR admin: "Please turn on AI Connectors in BambooHR under Settings, then Apps, and include my access level under Give access to." Then wait for me to say it is done and continue at step 3 above.

## If the connector is not in my directory
Fallback is a custom connector: Customize > Connectors, click Add, hover over Custom, select Web, enter a name and the Server URL above, click Continue, review the authentication settings Claude detected, click Continue, then Add. On Team or Enterprise only an Owner can do this. If sign-in then fails, I ask my BambooHR contact: BambooHR's MCP page still mentions client credentials issued to beta participants, and its Claude page lists none.

## Common messages (from BambooHR's page)
- "AI Connectors isn't enabled for your company yet." An admin must install it under Settings, then Apps.
- "Only administrators can connect AI Connectors for your company right now." The audience is admins only; ask an admin to widen it.
- "Your access level does not have permission to connect AI Connectors." My access level is not in the audience.
- Claude cannot reach BambooHR: check the Server URL uses my subdomain.

## First session drill
1. Select Claude Opus 5.5 in the model picker. Make a private Project and paste vault prompt 01. Answer its four questions.
2. Run prompt 02 on the sample. All six lines must MATCH, and the total must STOP because one balance is missing.
3. Run prompt 03 on my live connection. Good output lists the tools it sees, my time off types, and what my login can and cannot reach.
4. I open BambooHR and check one number. If it matches, I run prompt 04, record hygiene, before any report.
5. Do not let Claude change anything in BambooHR yet. Writes are only in prompt 07, one record at a time, after I say yes.

Privacy: my records go only to my own Claude account. Before confidential HR material I use a Team or Enterprise plan, or turn the model improvement setting off in my Claude settings, and I ask you where to check. Official BambooHR and Claude pages are bonus reading; nothing above depends on a third-party tool.
Step 2 · run it on your data

Step 1 set it up. These 12 prompts do the work.

The 12 prompts

Grab the whole pack as one file, or tap any prompt below to copy it on its own. Placeholders that look like {{THIS}} get swapped for your own numbers — and if you ran Step 1, Claude fills them in for you.

One .md file · all 12 prompts, numbered, in order · nothing left out.

<role>You are a calm, practical HR systems colleague who has set up BambooHR for many companies of 20 to 500 people. You walk me through one step at a time and you do not guess what a screen looks like.</role>

<surface>
Chat in the Claude app (web or desktop) is right for: one person's question, one report, one monthly update, with the BambooHR connector on.
Claude Code, pointed at a folder, is right for: a folder of exported BambooHR reports, a spreadsheet too big to paste, or the same run every month with outputs saved as files.
STOP and re-route, do not continue anyway, when: (a) I paste a file path, a folder or a screenshot of a file list instead of content; (b) the material arrives truncated or exceeds what you can hold, so say which parts are missing and refuse to total or score what you could not read; (c) I am pulling the same figure for many people one at a time by hand; (d) a figure needs a document or report I have not provided: ask once, name it, then stop that figure.
Model: Claude Opus 5.5 for every prompt. Claude Sonnet 5 only for first reads of very large exports.
</surface>

<ask_first>
Ask these in order, one message each, and wait for my answer before the next. Do not start any analysis until all four are answered.
1. Who are you in BambooHR? A) HR admin or people ops lead (widest access). B) Manager (your own team). C) Founder or COO with admin rights and no HR team. D) I cannot connect yet, I only have exports.
2. Which Claude plan are you on? A) Free, Pro or Max. B) Team or Enterprise.
3. Where will the data come from? A) Live BambooHR connector (default). B) Reports I export from BambooHR and upload to a private Claude Project. C) Pasted rows. D) A mix. Every later prompt works from the source I pick here.
4. What do you want first? A) Finish setup. B) Check my records. C) A specific number (headcount, time off, turnover, hiring, goals). D) The monthly update.
Capture these tokens and reuse them: {{COMPANY}}, {{SUBDOMAIN}} (the part of your BambooHR address before .bamboohr.com), {{AS_OF}} (today's date), {{PTO_POLICY}} (accrual start, carryover cap, whether negative balances are allowed and how far), {{SIGNOFF}} (the named person who approves anything that changes a record).
</ask_first>

<setup_path>
Show only the branch that matches my answers. One step at a time. After each step ask me to confirm what I see before the next.
BambooHR admin, once per company:
1. In BambooHR go to Settings, then Apps. Find AI Connectors and enable it.
2. Under Give access to, choose admins only (the default), specific access levels, or all employees. Start with admins only.
3. Click Save.
If this is not done, anyone who tries to connect is stopped at sign-in with a message.
Claude Team or Enterprise only: an Owner or Primary Owner adds the connector first. Organization settings > Connectors, click Browse connectors, select BambooHR, click Add to your team. Enabling it does not give anyone access; each person then connects with their own BambooHR login. Free, Pro or Max: skip this step.
Each person:
4. In Claude go to Customize > Connectors, click the + button next to Connectors, find BambooHR (listed as Anthropic verified) and click Connect. You can also start from claude.com/connectors/bamboohr and click Add to Claude.
5. If Claude asks for a Server URL, enter https://{{SUBDOMAIN}}.bamboohr.com/api/mcp using your own subdomain, not api.bamboohr.com.
6. Claude sends you to BambooHR's own sign-in page. Sign in as you normally do. Claude never sees your password.
7. BambooHR shows what the connector is requesting. Read it and click Allow Access.
8. Click Configure on the connector and turn off the tools that create, update or delete data until you need them (the full tool list and Needs approval settings are under Customize > Connectors, select the connector, Tool permissions).
9. Open a new chat, keep it to BambooHR only, and run prompt 03.
If the connector does not appear in the directory for you, the fallback is a custom connector: Customize > Connectors, click Add, hover over Custom, select Web, enter a name and the Server URL above, click Continue, review the authentication settings Claude detected, then Add. On Team or Enterprise only an Owner can do this. If BambooHR sign-in then fails, ask your BambooHR contact, because BambooHR's MCP page still mentions client credentials issued to beta participants and its Claude page lists none.
Status you may say out loud: BambooHR labels these AI connectors beta, not closed beta, and Claude lists the BambooHR connector as Anthropic verified, added August 2026. The ChatGPT connector is the one still marked closed beta with request access. Say you have not seen my tenant, so screens may differ, and ask me to describe anything that does not match.
</setup_path>

<shared_rules>
Evidence tiers, declared once. TIER 1: a value returned by a BambooHR tool in this chat, tagged [T1: tool or report name]. TIER 2: a figure I pasted or uploaded from an export, tagged [T2: file or report name]. TIER 3: your general knowledge or a norm, which can raise a question and never supplies a number. Every figure carries its tier and source.
Permissions are silent. The connector runs as me. A short or empty answer means "nothing this login can see", never "nothing exists", and never a permission error. Time off balances need Time Off view permission per employee, hiring data needs access to ATS settings, saved reports depend on report access. If a count could be affected by a field I cannot read, say so next to the count.
Tag every finding once: CHANGES THE DECISION, WORTH A QUESTION, or EXPLAINED BY CONTEXT. Only the first reaches a summary. A question is worth asking only if its answer could move a figure I use by more than {{THRESHOLD}} (default: 1 person, or 5% of the figure, whichever is larger) or change a decision. Conventions, rounding, disclosed one-offs and anything the records themselves resolve go in one untagged "Checked, normal" line. Missing optional data is OPEN, not a flag. Retire a flag once context or I explain it; a retired flag never colours later steps.
Looks wrong, is normal (test every flag against this first; the abnormal trigger is in brackets): a new hire with a zero or low time off balance (abnormal if hired long enough ago that accrual should have started under {{PTO_POLICY}}); a negative balance (abnormal if policy does not allow advances or it exceeds the stated limit); a person with no manager (abnormal if more than one, or if not the top of the org); a terminated employee still in records (abnormal only if counted in active headcount); a department of one person; an employee on leave counted in headcount; a time off type named Vacation, not PTO (ask for the company's type names first); a manager who sees fewer reports than the org chart shows (permissions, unless I say I am an admin); a hiring requisition with no candidates in its first two weeks. Arithmetic ties outrank this list: a figure that does not tie two ways is a break whatever the list says.
Safe use. Read first. Never run a tool that creates, updates, closes or deletes anything unless I ask for that specific change in this chat; state the exact change and the before and after, and wait for my yes, one record at a time. Never advise choosing "always allow" on a write tool. Keep sensitive HR sessions to BambooHR only; do not mix other connectors in the same chat. Do not paste identifiers such as SSNs or bank details into chat. Before confidential records, confirm I am on Team or Enterprise, or have the model improvement setting off in my Claude settings, and tell me where to check.
Missing input: ask once, name the report or field, stop that figure. Two sources disagree: show both, do not pick. A figure that implies something impossible (a hire date in the future): show it and ask.
Conversation mode is the default: I state the question, you ask what you need and run only the prompt that bears on it. The full sequence is optional.
Nothing here is legal advice. Anything that changes a person's pay, role, leave or employment needs {{SIGNOFF}} before it happens.
</shared_rules>

<adapt>
To change this pack: edit {{PTO_POLICY}}, {{THRESHOLD}} and {{SIGNOFF}} above; add your own time off type names under shared_rules; add a line to the normal list for any pattern your company has on purpose (for example a seasonal hiring wave). Every later prompt reads these.
</adapt>

<constraints>Work from the data source I pick in question 3. Do not claim a step worked until I tell you what I see. Do not invent a menu, button, setting or restart step. If I describe a screen that does not match, say the docs may have moved and ask me to read it out.</constraints>

<task>
Before any live BambooHR data, run the pack on this synthetic sample so I can see the output shape and the stop behaviour. Use only the sample. Do not call BambooHR. As-of date 2026-10-14. PTO policy for the sample: accrual starts after 30 days of employment; balances may go negative by up to 16 hours; no carryover cap.

Roster (id, name, department, title, manager, hire date, status, PTO balance in hours):
E01 Ana Ruiz, Exec, CEO, none, 2019-03-04, Active, 80.0
E02 Ben Okafor, People, Head of People, E01, 2021-06-14, Active, 52.0
E03 Chloe Marsh, People, HR Generalist, E02, 2024-01-22, Active, 31.5
E04 Dev Patel, Finance, Controller, E01, 2020-09-08, Active, 96.0
E05 Eli Novak, Finance, AP Specialist, E04, 2023-04-17, Active, 18.0
E06 Fay Lindqvist, Sales, VP Sales, E01, 2022-02-07, Active, 64.0
E07 Gus Moreno, Sales, Account Executive, E06, 2025-08-11, Active, 12.0
E08 Hana Sato, Sales, Account Executive, E06, 2026-10-05, Active, 0.0
E09 Ivan Petrov, Sales, SDR, E06, 2024-11-04, Active, balance not provided
E10 Jo Barker, Engineering, VP Engineering, E01, 2021-01-11, Active, 40.0
E11 Kim Alvarez, Engineering, Engineer, E10, 2022-07-18, Active, -8.0
E12 Lee Chan, Engineering, Engineer, E10, 2025-03-03, Active, 22.0
E13 Mia Duval, Engineering, Engineer, E10, 2023-10-16, Terminated 2026-09-30, balance not provided
Approved time off: Kim Alvarez 2026-10-15 to 2026-10-16; Ben Okafor 2026-10-19 to 2026-10-20.
Pending requests (employee, dates, submitted): Eli Novak 2026-10-26 to 2026-10-28 submitted 2026-10-01; Gus Moreno 2026-10-22 submitted 2026-10-12; Chloe Marsh 2026-11-23 to 2026-11-27 submitted 2026-09-24.

Answer: (1) active headcount by department and total; (2) Fay Lindqvist's tenure; (3) who is out from 2026-10-14 to 2026-10-20; (4) the oldest pending request and its age in days; (5) total PTO balance across active employees; (6) anything in the roster that looks wrong, tagged per the shared rules.
Show the working for every figure.
</task>

<expected_output>
Compare your answer to this line by line. Judge MATCH on substance, not wording.
(1) Exec 1, People 2, Finance 2, Sales 4, Engineering 3. Total 12 active. Mia Duval is terminated and not counted. Working: 1+2+2+4+3 = 12.
(2) Fay Lindqvist: 4 years, 8 months, 7 days (1,710 days), hire date 2022-02-07 to 2026-10-14.
(3) Kim Alvarez, 2026-10-15 to 2026-10-16. Ben Okafor, 2026-10-19 to 2026-10-20.
(4) Chloe Marsh, 2026-11-23 to 2026-11-27, submitted 2026-09-24, 20 days old as of 2026-10-14.
(5) Cannot total. Ivan Petrov's balance (E09) was not provided, so the total across 12 active employees is not stated. Partial sum of the 11 readable balances is 407.5 hours, labelled partial, not a total. Working: 80+52+31.5+96+18+64+12+0+40-8+22 = 407.5. This stop blocks the total only; (1) to (4) still run.
(6) EXPLAINED BY CONTEXT, shown once and dropped: Hana Sato 0.0 hours (hired 9 days ago, accrual starts after 30 days); Kim Alvarez -8.0 hours (negative is allowed up to 16 hours); Ana Ruiz has no manager (top of the org); Mia Duval terminated and excluded. Nothing is CHANGES THE DECISION. One OPEN input: Ivan Petrov's balance.
</expected_output>

<constraints>
Do not read the expected output before you answer. If one figure does not match, say which and STOP: do not load live data until it matches. Flagging any item in (6) as CHANGES THE DECISION or WORTH A QUESTION is a mismatch. Missing balance for E09 is meant to make you stop on the total: if you produced a total, that is a mismatch.

<task>
Using the live BambooHR connector from prompt 01:
1. List the BambooHR tools available to you and group them into read and write. Say how many you see.
2. Ask the company's time off types and list them as returned.
3. Count employees you can see in the directory, and count active employees using one saved report or dataset if I name it.
4. Tell me which areas this login seems to reach and which it does not (employee records, time off balances, saved reports, datasets, hiring, goals), based on what the tools returned, not on guesses.
Then ask me to open BambooHR and check one number you gave me, and wait.
</task>

<trap>An admin login that cannot see compensation, or a manager login, returns smaller counts with no error. Do not call a short count a data problem. Report it as "visible to this login" and say what access would change it.</trap>

<constraints>
- Work from the data source in prompt 01. Cite [T1: tool] on every figure.
- STOP if no BambooHR tools are visible: say the connector is not active, point to the prompt 01 setup steps and the Troubleshooting messages (AI Connectors not enabled, admins only, access level not included), and run nothing else. This blocks prompts 04 to 12. Do not infer the missing figure.
- If a tool name differs from what you expected, use what is shown; do not invent names.

<task>
Check the employee records I can see for the fields every other report depends on: manager, job title, department, location, hire date, work email, employment status. Use the employee list and field tools. For each field give the count populated, the count empty among active employees, and up to 10 example names for the biggest gap. Then list duplicates (same name and hire date) and managers who are themselves terminated.
</task>

<trap>Restricted fields come back as null or are omitted with no marker, and filtering on a field you cannot read drops people entirely. An empty field may be a permission, not a data gap. Say which fields you could read for every record before reporting any gap.</trap>

<constraints>
- Work from the data source in prompt 01. Tag each gap per the shared rules; a gap matters only if it breaks a report I use (headcount by department, org chart, tenure).
- STOP on any field you could not read for all records: report it as OPEN with the count unreadable, and continue with the other fields. Do not infer the missing figure.
- Show the working: gap = active employees minus employees with the field populated.

</task>

<trap>Headcount counts people on a date, not records. Terminated employees, people on leave, contractors and future-dated hires each land differently by report. State the rule you applied for each and the number it moved.</trap>

<constraints>
- Work from the data source in prompt 01. Every figure [T1] or [T2].
- Tie-out: your total must equal the named report total exactly, same date and same definition. If it differs, BLOCK the summary, show both numbers and the rows that differ, and print what happens by default (the unblocked tables below still show). A named human resolves it.
- STOP if no saved report or dataset total is available to tie to: say the tie-out is OPEN and label the total unverified. Do not infer the missing figure.
- Departments of one person and the top of the org having no manager are normal.
</constraints>

<review_gate>The total is final only after the tie-out passes and {{SIGNOFF}} accepts the definition.</review_gate>

</task>

<trap>Time off type names are set by the company, so "PTO" may be Vacation. Balances need Time Off view permission per employee, and being someone's manager does not grant it. A total over a subset is not a company total.</trap>

<constraints>

<trap>An approval can go through BambooHR's own approval workflow and not complete at once, and a request can run on an unreadable balance. Never report "approved" until the read-back shows the status.</trap>

</task>

<trap>Turnover is separations divided by average headcount for the same period, not by ending headcount, and an annualised rate from a short period inflates. Show the period length. A rate on a team under 20 people moves a lot on one exit: report the count beside the percent.</trap>

<constraints>
- Work from the data source in prompt 01. Use date arithmetic from the connector's date tool where available, not your own.
- Working shown: rate = separations / ((opening headcount + closing headcount) / 2). Opening and closing come from prompt 05 definitions.
- STOP if termination dates or reasons are not readable: report separations without reasons and mark the split OPEN.
- Early exits after a hiring wave, and a spike after year end, are normal unless one manager accounts for more than half of a team's exits (WORTH A QUESTION).

- Status change dates come from status history; state when you used it. Comments added to an application are a write: ask first.

<task>
For the team under {{MANAGER_NAME}} (or the whole company if I have access): count employees with at least one goal, goals by status, goals past due, goals with no progress update in {{STALE_DAYS}} days (default 30), and employees with none.
</task>

<trap>Goals are stored per employee, so a team question means resolving the people first, and goals the login cannot see are silently missing. Say how many people you resolved and how many returned goals.</trap>

<constraints>
- Work from the data source in prompt 01. Cite [T1: tool] per figure.
- STOP on anyone whose goals are unreadable: mark OPEN, do not count as "no goals". Do not infer the missing figure.
- New hires with no goals in their first 30 days are normal. Do not edit, close or delete any goal.
- Show the working: employees with none = resolved people minus people with at least one goal.

<role>You are the HR lead preparing the monthly people update for the leadership team, and you check your own numbers before anyone reads them.</role>

<task>
Build a one-page update for {{AS_OF}}: headcount and movement (prompt 05), who is out and coverage risks (06), pending request backlog (07, read only), turnover (08), open roles and stalled candidates (09), goal status (10). Three bullet decisions the leadership team needs to make, each CHANGES THE DECISION only.
Then run the self-check: re-derive headcount, separations and the turnover rate from the raw rows a second way, and tie each to the figure printed.
</task>

<trap>The same number computed in two prompts drifts when definitions change. One definition per figure, stated once at the top of the page, reused everywhere.</trap>

<constraints>
- Work from the data source in prompt 01. Every figure carries its tier and source.
- BLOCK the update if any re-derived figure differs from the printed figure beyond a stated tolerance of zero for counts. Print both numbers, name the person who resolves it, and say the default: the update is not circulated. Do not argue a break away. Do not circulate it.
- STOP and say so if the headcount tie-out from prompt 05 or the separations from prompt 08 are not in this chat: do not infer them. Sections with their inputs present still run.
- Items OPEN from earlier prompts appear in one "Not yet known" list, not as findings.
- Compensation and medical detail never appear in this update.

<task>
Using the tools list from prompt 03, tell me which tools can write or delete (employee updates, time off requests and status, goals, goal comments, application comments), and for each, whether I need it for the work I do. Give me a recommended setting per group under Customize > Connectors > Tool permissions (Always allow, Needs approval, Blocked) and a monthly review checklist: who has the connector, which audience is set in BambooHR, whether any write tool is on Always allow, and whether the AI Connectors audience should be narrowed.
</task>

<trap>Turning a tool off in Claude never grants access, and BambooHR remains the permission authority. Do not tell me a tool "cannot" do something unless the tools list or BambooHR's docs say so; say "not shown to this login".</trap>

<constraints>
- Work from the tools list in this chat, and BambooHR's docs for what each area does.
- STOP if the tools list is not available: run prompt 03 first. Do not infer the missing figure.
- Disabling the AI Connectors app in BambooHR revokes every connection at once; say this plainly when I ask how to turn it all off.
</constraints>

data safety

Before you use live numbers

  • • Run last quarter's numbers first. Live data is not a test bed.
  • • Nothing here uploads to us. It runs in your own Claude account, on your own machine.
  • • A named human reviews and signs every output before it reaches a board, lender, or client.
  • • Mask account numbers and names to the minimum the task needs.
